Job Summary

Our company is seeking a General Services Supervisor who will oversee and manage the day-to-day operations of the general services department for the company. This role includes close supervision and coordination of general services, procurement, facilities maintenance and related activities, including coordination and performing a diverse set of support tasks, managing both staff and property, to ensure the organization and its facilities have the staff and resources needed to operate smoothly and efficiently. The General Services Supervisor oversees central office services such as facilities/room reservation, housekeeping/janitorial, security, and purchasing & inventory of supplies/materials; and activities of General Services Department Staffs. This includes performing these various job responsibilities.

Job responsibilities

Supervisory Responsibilities

·   Supervise and provide assistance to staff, ensuring adherence to company policies, performance standards, and departmental goals.
·
  Initiates and coordinates the recruitment of required personnel based on established qualifications; trains new hires based on the corresponding job-specific guidelines and company’s policies and procedures.
·
  Define staff roles with established performance standards; monitor staff productivity and general performance ensuring awareness, consciousness and focus on the department’s objective and the means to achieve it.
·
  Conducts regular meetings with staff providing guidance, support, and mentoring to ensure optimal performance and productivity.

Operational Responsibilities

·   Ensures that appropriate systems/procedures for facilities and office administration services are implemented conforming with company policies to improve operational efficiency and effectiveness.
·
  Maintain cleanliness and presentable appearance of the company’s facilities, ensuring a safe and good work environment adhering to government regulations and environmental standards.
·
 Monitor and supervise installation, repair, and preventive maintenance of office and facilities equipment ensuring cost-effectiveness and continuous availability.
·
  Monitor procurement, inventory, and distribution processes for office supplies, housekeeping materials, corporate giveaways, and other office products and services.
·
  Establish and maintain relationships with suppliers and vendors. 
·
  Oversee Fixed Assets Management and manage the acquisition, allocation, movement, and disposal of fixed assets in coordination with the Finance Department.
·
  Coordinate vehicle maintenance, trip schedules, and transportation arrangements for employees, clients, and guests.  Monitor gasoline expenses, insurance, and registration renewal for company vehicles.
·
  Coordinate with different department heads in organizing company activities and assist with various events, and projects (i.e. exhibits, job fair, seminar, sales awards, anniversary, holiday parties, etc.)
·
  Ensure cost efficiency, government regulation and company policies compliance, safety and security standards in handling and monitoring tasks and responsibilities.
·
  Prepare regular and ad hoc reports for the department head and other stakeholders.
·
  Perform other responsibilities, additional tasks, and projects as needed and required by the position.

Qualifications

·   Bachelor's degree in Business Administration, Engineering or related course
·
  Must have experience in any general services operations such as procurement and facilities maintenance/management. 
·
  Strong knowledge of office equipment maintenance and fixed asset control.
·
  Proven expertise in budgeting and implementing cost-effective measures.
·
  Excellent communication, leadership, and problem-solving skills.
·
  Proven ability to supervise teams and manage operational workflows.
